Role Overview

clarife uses four roles to control what team members can do within a workspace. Each role builds on the permissions of the one below it.

There must always be at least one Owner in a workspace. You cannot remove the last Owner or change their role without assigning another member as Owner first.

Changing Roles

Go to Members

Navigate to Settings > Members in your dashboard.

Find the member

Locate the member whose role you want to change.

Select a new role

Click the role dropdown next to their name and select the new role. The change takes effect immediately.
Only Owners can change member roles. Editors, Contributors, and Viewers cannot modify roles.

Transferring Ownership

To transfer workspace ownership to another member:
  1. Ensure the target member is already part of the workspace
  2. Change their role to Owner
  3. Optionally change your own role to Editor or another role
A workspace can have multiple Owners. This is useful for organizations where several people need full administrative control.

No. Only Owners and Editors can create and manage shares. Contributors can create and edit their own documents but cannot share them.
Yes. Viewers can export documents in all available formats (PDF, HTML, Markdown, Presentation) but cannot modify them.
The change is immediate. If you downgrade someone from Editor to Viewer, they lose edit access instantly. Documents they created remain in the workspace.
